Tax invoices · credit notes · audit trail
Tax invoices you can trust — and still fix when you slip
Mistakes happen at a busy front desk. WStation lets you edit a tax invoice for 7 days after it is issued, with every change recorded. After that it is locked: a correction posts a credit note that reverses it and, if you want, a replacement with the right figures — dated when it should have been.

7 days to fix it
Typo in the name? Wrong method? Edit the tax invoice inside its window and money, tax and the journal all follow. Choose fewer days in Settings if your accountant prefers.
Credit notes done properly
Past the window, a reversal negates every figure and a replacement can be backdated. All three link to one another. Nothing disappears.
An audit trail you didn't have to keep
Every edit is written to the document's history, and Reports → Audit trail lists them all.
How it works
One stay, four names, zero retyping
Every guest is one record that changes its name as they go: asked for a price, said yes, stayed, paid. Each step is one press of a button.
- QuotationThey ask what it costs. Rooms, nights, guests and a deposit, priced in a minute.
- BookingThey say yes. One click, and the room is theirs on the calendar — nobody else can have it.
- InvoiceThey check out. The bill is raised from what was quoted, nothing typed twice.
- Tax invoiceThey pay. Part or all, by cash, card or transfer — the receipt is written and it is in the books.
The rules
Practical for you, trustworthy for the tax office
| Document | Can it be changed? |
|---|---|
| Quotation | Any time — every edit recorded |
| Booking and unpaid invoice | Any time while money is owed |
| Tax invoice | For 7 days (or fewer, your choice), then corrected by credit note |
| Paid invoice past its window | Reissued: reversal plus a new invoice |
| Anything | Never deleted — reversed, with the reason kept |

Questions
Asked before signing up
Why can't I just delete a wrong tax invoice?
Because a tax invoice is a record of money and tax. Deleting it leaves a gap in the numbers and the books. Reversing it with a credit note keeps both honest — which is what tax offices and accountants expect.
Can the replacement have the original date?
Yes. The credit note is dated today; the replacement can be backdated to when the sale really happened.
Does it show my VAT or GST number?
Yes. Your registration number prints on every tax invoice, with the tax for each rate.
What does a tiller do if they make a mistake?
They ask for a change; a manager approves it, which runs the edit or the reversal for them.
