Automated guest messaging
Every guest hears from you — without you remembering to write
WStation writes to each guest at the three moments that matter: when the booking is confirmed, a couple of days before they arrive, and the day after they leave. In your words, from your business name, with replies going straight to you.
- No card
- Nothing to install
- Works on your phone
Confirmed the moment they book
The guest gets their dates, room, nights and your contact details within the hour — no more "did you get my booking?" calls.
Check-in details before they arrive
Arrival time, directions, the gate code and the Wi-Fi go out one to seven days before, at the hour you pick, in your time zone.
Reviews and direct bookings after
The day after checkout: a thank-you, your Google or TripAdvisor review link, and your own booking page — so next time they book direct, with no commission.
How it works
One stay, four names, zero retyping
Every guest is one record that changes its name as they go: asked for a price, said yes, stayed, paid. Each step is one press of a button.
- QuotationThey ask what it costs. Rooms, nights, guests and a deposit, priced in a minute.
- BookingThey say yes. One click, and the room is theirs on the calendar — nobody else can have it.
- InvoiceThey check out. The bill is raised from what was quoted, nothing typed twice.
- ReceiptThey pay. Part or all, by cash, card or transfer — and it is in the books.
How it works
Switch it on once. It runs for every booking.
Nothing to schedule, nothing to copy and paste. Each message goes once per booking, and only to guests whose booking is confirmed.
| Message | When it goes |
|---|---|
| Booking confirmation | As soon as a booking is confirmed — never to guests booked before you switched it on |
| Before arrival | 1, 2, 3, 5 or 7 days before check-in, from the hour you choose |
| After the stay | The day after departure, with your review link and booking page |
| Your wording | Edit every subject and line; {guest}, {arrival}, {room} and more are filled in for you |
| No email address? | The message waits in your outbox, ready to send on WhatsApp with one tap |
| Replies | Go to your own business email, not to WStation |
Everything in it
Built for guesthouses, lodges and B&Bs
No modules to buy and nothing to set up first. Turn off what you don't use.
- Occupancy calendar — every room down the side, every night across the top
- No double bookings — a taken room is refused before the quote or booking is saved
- Airbnb & Booking.com calendar sync — each room swaps calendars with its listings every 30 minutes
- Automatic guest messages — a confirmation, check-in details before arrival and a review request after — by email or WhatsApp
- Free-room search — type the dates and party size, see what is free and what fits
- Quotes per room — each room with its own dates, guests and per-person or per-room rate
- Deposits — ask for a percentage up front; the balance prints on its own
- Room status — checking a guest out marks the room for cleaning
- Invoices and receipts — your logo, bank details and a QR code on every document
- VAT, GST or sales tax — including a separate rate for accommodation, or no tax at all
- A till — for the bar, the shop or anything sold over the counter
- Income, expenses and reports — worked out from money that actually moved
- Your team — invite staff and admins; run more than one property from one login
- Phone, tablet or computer — and it keeps working when the signal drops
Questions
Asked before signing up
Is automated guest messaging free?
Yes. It is part of WStation, which you can start free in your browser with no card.
Can guests reply?
Yes. Emails go out in your business's name and replies land in your own inbox.
Does it work with WhatsApp?
Yes. When a guest has a phone number but no email, the message waits in your outbox and opens in WhatsApp, already written, with one tap.
Will it message guests who booked on Airbnb or Booking.com?
No. Those sites keep the guest's contact details to themselves and message guests through their own apps. WStation writes to the guests you book directly, which is where a review and a repeat booking are worth the most.
Can I change what it says?
Every subject and line. Use placeholders such as {guest}, {arrival}, {nights} and {checkIn}, preview the result, and email yourself a test.
