Software for campsites

Campsite booking software, per site and per person

A campsite sells a pitch and then charges for everyone on it. WStation treats each site as a bookable place with its own number of people, prices the site and the heads, and runs the camp shop on the same till.

Every pitch on one grid

Sites, chalets and fixed tents side by side. See tonight's free sites before you answer the overlander at the gate.

Per person, worked out

Charge the site, then per-person — the line multiplies by the people on it and the nights they stay.

Firewood, ice and the shop

The till rings up firewood, ice and drinks, and counts the stock down.

A day at your campsite

What WStation does between breakfast and bedtime

  1. Departures

Today's view shows who is leaving which site, and whether they've paid.

  2. Overlanders at the gate

Two vehicles, four people, two nights. Check the grid, book Site 3, take payment at the gate.

  3. School group asks

Thirty learners for a weekend: quote three sites, per-person rates and meals in one quote.

  4. Shop rush

Firewood and ice through the till; stock counts itself down, the takings are in the books.

Your rates, your way

How you charge, and how WStation handles it

Set it up the way you already price. Anything unusual goes on the quote as a line of its own.

How it works

One stay, four names, zero retyping

Every guest is one record that changes its name as they go: asked for a price, said yes, stayed, paid. Each step is one press of a button.

  1. QuotationThey ask what it costs. Rooms, nights, guests and a deposit, priced in a minute.
  2. BookingThey say yes. One click, and the room is theirs on the calendar — nobody else can have it.
  3. InvoiceThey check out. The bill is raised from what was quoted, nothing typed twice.
  4. ReceiptThey pay. Part or all, by cash, card or transfer — and it is in the books.

Everything in it

Everything a campsite needs

  • Occupancy calendar — every room down the side, every night across the top
  • No double bookings — a taken room is refused before the quote or booking is saved
  • Free-room search — type the dates and party size, see what is free and what fits
  • Quotes per room — each room with its own dates, guests and per-person or per-room rate
  • Deposits — ask for a percentage up front; the balance prints on its own
  • Room status — checking a guest out marks the room for cleaning
  • Invoices and receipts — your logo, bank details and a QR code on every document
  • VAT, GST or sales tax — including a separate rate for accommodation, or no tax at all
  • A till — for the bar, the shop or anything sold over the counter
  • Income, expenses and reports — worked out from money that actually moved
  • Your team — invite staff and admins; run more than one property from one login
  • Phone, tablet or computer — and it keeps working when the signal drops

Questions

Asked before signing up

Can a campsite be a "room" in WStation?

Yes. Anything sold once a night is a room: a campsite, a chalet, a fixed tent. Give each a name, a capacity and a rate.

Can I add many sites at once?

Yes. Add sites in bulk — Site 1 to Site 40 — and set their rate and capacity together.

Can I take payment at the gate?

Yes. Record cash, card, EFT or mobile money on the stay from a phone, and print or send the receipt.

Does it work with no signal at the gate?

Yes. WStation keeps working offline and sends the changes when the connection returns.
