Calendar sync · booking diary

Airbnb, Booking.com and your direct guests — one diary, no double bookings

Selling the same rooms on Airbnb, Booking.com and by phone? WStation swaps each room's calendar with both sites every 30 minutes. A night sold on one closes on the others, and every booking lands in one diary you run from your phone.

  • No card
  • Nothing to install
  • Works on your phone

Sold on one, closed on the rest

A night booked on Airbnb is blocked in WStation and closed on Booking.com. A booking you take by phone closes on both. Each room is synced on its own.

One booking diary for everything

Airbnb, Booking.com, walk-ins and direct bookings, side by side on one calendar — rooms down the side, nights across the top.

No passwords handed over

You swap two private calendar links per room, once. WStation never logs in to your Airbnb or Booking.com account and never sees your guests' details there.

How it works

Two links per room, swapped once

Calendar sync uses the private calendar links Airbnb, Booking.com and most booking sites already publish. Nothing to install, and no passwords shared.

  1. 1Each site gives you a calendar linkAirbnb and Booking.com publish a private calendar (.ics) link for every listing — a list of the nights already sold.
  2. 2WStation reads it every 30 minutesPaste that link into WStation against the right room. Its reservations become blocked nights on your calendar, and nobody can sell them again here.
  3. 3The sites read WStation's link backWStation gives every room a link of its own. Paste it into Airbnb and Booking.com, and nights you sold anywhere else close there too.

Set up

Connected in about five minutes a room

The menu names below are where the options usually live; each site moves them around from time to time.

  1. Booking.comExtranet → Rates & Availability → Sync calendars → Add calendar connection on the room. Paste WStation's link, name it "WStation", then copy Booking.com's export link.
  2. AirbnbCalendar → pick the listing → Availability → Connect calendars → Connect to another website. Copy Airbnb's link, paste WStation's link as the calendar address, name it and Add calendar.
  3. WStationRooms & occupancy → Booking.com & Airbnb. Copy each room's link for each site, and paste each site's link into its room.

The booking diary

Every booking, wherever it came from, on one calendar

Sync is only half of it. WStation is the diary you run the place from — and the quotes, invoices and receipts that go with each stay.

  • Today at a glance — who arrives, who's in, who leaves and which rooms need cleaning
  • Every source in one place — Airbnb and Booking.com nights beside your own bookings, walk-ins and quotes
  • Free-room search — type the dates and party size — rooms sold on other sites are already left out
  • Quote from any empty night — tap a free night on a room and the quote starts there
  • Your team sees the same diary — a room booked by one person is taken for everyone, on every phone
  • Works offline — changes made with no signal sync when you are back online

Compared

Calendar sync, against the alternatives

Honest about the trade-off: iCal sync is not instant. For a small place it closes the gap that causes almost every double booking — without a channel manager's monthly fee.

Questions

Asked before signing up

Do I have to give WStation my Airbnb or Booking.com password?

No. You log in to each site yourself once and swap two calendar links per room by copy and paste. WStation never logs in to your accounts.

How quickly does a booking on Airbnb close my room on Booking.com?

WStation reads each site's calendar every 30 minutes, and you can press Sync now at any time. Booking.com reads connected calendars about every two hours and Airbnb about every three (both have a manual refresh), so for a booking made at the last minute, close the room by hand as well.

Does it change my prices or availability numbers on the sites?

No. Calendar sync only marks nights as taken or free. Your prices, minimum stays and listing details stay on each site.

Is calendar sync available for my Booking.com property?

Booking.com allows calendar sync when the property is open and bookable, has 20 room types or fewer, sells only one unit of each room type, and does not use a connectivity provider (channel manager). Five identical doubles listed as one room type with five units do not qualify — list them as separate room types, or sync with Airbnb only.

Which other sites work?

Any site that gives you a calendar (.ics) link — such as Vrbo, Expedia's vacation rentals or a Google calendar. Choose 'Other site' when you connect it.

Are my guests' names shared with the other sites?

No. WStation's link only says 'Not available' for the nights a room is taken. Names, phone numbers and prices never leave WStation.

Is it free?

WStation is free to start. Calendar sync needs a free account, because the links have to belong to your rooms rather than to one browser.

Airbnb and Booking.com are trademarks of their owners. WStation is independent and is not affiliated with, endorsed by or a partner of either; it uses the calendar links each site offers its hosts.
