Software for backpackers & hostels

Hostel software that sells each dorm bed once

A hostel sells beds, not rooms, and half the guests walk in off the street. Add every dorm bed as its own bookable place, book a walk-in in seconds, and ring up the bar on the same system.

  • No card
  • Nothing to install
  • Works on your phone

Beds, not rooms

Each dorm bed is its own bookable place, so a six-bed dorm can hold six different guests on six different dates.

Walk-ins in seconds

See what's free tonight, book the bed, take the money. No form longer than it needs to be.

The bar on the same system

Ring up drinks and tours on the till. Stock counts down and the takings land in the same books.

A day at your hostel

What WStation does between breakfast and bedtime

  1. Checkouts

Beds leaving today are listed; checking out marks them for new sheets.

  2. Walk-in

Two travellers, three nights. The grid shows two free beds in Dorm A — booked and paid in a minute.

  3. Tour group enquiry

Twelve beds over a weekend: one quote across two dorms, with breakfast per person.

  4. Bar shift

Drinks through the till; tomorrow's report shows bar and beds side by side.

Your rates, your way

How you charge, and how WStation handles it

Set it up the way you already price. Anything unusual goes on the quote as a line of its own.

How it works

One stay, four names, zero retyping

Every guest is one record that changes its name as they go: asked for a price, said yes, stayed, paid. Each step is one press of a button.

  1. QuotationThey ask what it costs. Rooms, nights, guests and a deposit, priced in a minute.
  2. BookingThey say yes. One click, and the room is theirs on the calendar — nobody else can have it.
  3. InvoiceThey check out. The bill is raised from what was quoted, nothing typed twice.
  4. ReceiptThey pay. Part or all, by cash, card or transfer — and it is in the books.

Everything in it

Everything a hostel needs

  • Occupancy calendar — every room down the side, every night across the top
  • No double bookings — a taken room is refused before the quote or booking is saved
  • Free-room search — type the dates and party size, see what is free and what fits
  • Quotes per room — each room with its own dates, guests and per-person or per-room rate
  • Deposits — ask for a percentage up front; the balance prints on its own
  • Room status — checking a guest out marks the room for cleaning
  • Invoices and receipts — your logo, bank details and a QR code on every document
  • VAT, GST or sales tax — including a separate rate for accommodation, or no tax at all
  • A till — for the bar, the shop or anything sold over the counter
  • Income, expenses and reports — worked out from money that actually moved
  • Your team — invite staff and admins; run more than one property from one login
  • Phone, tablet or computer — and it keeps working when the signal drops

Questions

Asked before signing up

How do I set up dorm beds?

Add each bed as a room — "Dorm A · Bed 1" to "Bed 6" — in one go with bulk add. Each can then be booked on its own.

Can a group book several beds on one quote?

Yes. A quote can hold many beds or rooms, each with its own dates and guests.

Can staff run the desk on a shared tablet?

Yes. Invite each staff member, and they sign in on any device.

Do you connect to Hostelworld or Booking.com?

Not yet. Add those bookings in WStation so the beds are held, and take direct bookings and walk-ins alongside.
